FAQ
You can book a call here: https://calendly.com/calibrateoutreach/30min
For most clients, we send 10,000 emails per month
This also depends on the size of your total approachable market.
We can do higher volumes (for some clients, we do 5x the normal volume).
The primary purpose of the call is to figure out if it makes sense to work together.
We will ask questions about your business, your sales process, your ideal customer profiles, and your expectations.
This allows us to provide an honest assessment of whether collaborating makes sense from our perspective.
Afterward, we’re happy to answer any questions and explain how we would approach cold email for your business.
Results are always highly dependent on your specific niche and offer. It’s impossible to give you an estimate without learning more about your business first.
However, we use a 0.5% positive reply rate as a baseline.
So, with 5,000 emails sent per month, this would translate into 25 positive replies.
This should allow you to do some napkin math depending on your sales process.
What’s your LTV? How many of these positive replies can you turn into paying customers?
How many positive replies per month would you need to see to have a positive ROI?
● Team of 6
● Fully remote, employees in the US, India, and Singapore.
● Direct points of contact are our cold email specialists based in India and Singapore.
● Remote Team members in the India help with backend tasks (labeling emails, setting
up email accounts, etc.)
All replies go to the sending accounts we set up. The first step is always labeling them.
Then, based on the label, we take action. We qualify a positive response as someone who is
- Well within your ICP and
- Genuinely interested in the offer you’re sending.
Below are the action steps based on reply:
● Out of office -> we schedule a follow-up when they come back.
● Referral -> we reach out to the person we were referred to.
● Negative reply -> stop follow-ups.
● Positive reply -> stop follow-ups and forward to client. How many follow-ups do you send?
Deliverability is everything. If you don’t land in the inbox, nothing else matters. So we take a pretty obsessive approach here.
First, we get all the technical fundamentals right: SPF, DKIM, and DMARC, no shortcuts.
We also don’t rely on just one domain or a couple of accounts. Instead, we spin up multiple domains and email accounts, sending only a few daily emails from each. Everything gets warmed up and stays warm, so your emails land in inboxes, not spam folders.
But that’s just the beginning. We also:
● Write 100% unique emails every time based on the profile we build on each contact and their company
● Have a network of test inboxes across major providers. We send from your accounts and track exactly where those emails land (primary, promotions, spam, etc.).
● And if something looks off? We quietly swap out the account before it becomes a problem.
Basically, we’re constantly monitoring, optimizing, and staying ahead of the curve, because cold email only works if you’re actually seen.
When you’re working with us, you’re not just buying a service but also expertise.
Cold email does seem simple, but once you really dive into it, you quickly learn that it’s an incredibly deep rabbit hole.
How many email accounts do you need? How do you ensure deliverability? What kind of sequence performs best? What kind of CTA should I use? How do I effectively iterate on copy? Over the past 12 months, we’ve run more than 800 targeted campaigns for 100+ B2B companies. We have a good grip on what’s working right now.
In addition, while setting up a cold email campaign is not crazily complicated, it requires persistent iterations and optimizations.
The key to cold email success is not some secret hack. It’s nailing the fundamentals until you find something that works and then scaling it up without getting distracted or demotivated.
When working with us, you will have someone making sure your campaigns are running smoothly and are optimized every single day without having to worry about anything.
Another advantage when working with us is that we can afford to pay for all the tools on the market and have the budget to constantly test new ones.
For example, when it comes to lead data, we do not rely on one source but use all of them to make sure the lists we use have maximum coverage and quality. If you’d do this for yourself, you’d pay thousands of dollars for this alone.
Almost every single client we work with has been burned by a lead-gen agency before.
Most overpromise and underdeliver.
With us, you will always work directly with a cold email specialist.
Another common problem is that lead gen agencies focus on too many things at once.
We only focus on cold email.
Nothing else.
Nailing this one channel is already hard enough. Only by ruthlessly focusing on this one thing can we deliver the quality of work that is needed to produce results.
Unlike most other agencies, transparency is one of our core values.
Other agencies act as if their processes are some secret block box.
In contrast, we always share everything we do and why.
All data we use and copy we write is shared with you so you can properly assess its quality and give us feedback.
And should you ever decide to bring cold email in-house we’re happy to help with the transition.
We never hold domains etc. hostage but happily transfer them over when needed.
Unlike other agencies, we also do not rely on cookie-cutter tools but build a lot of technology in-house. No one but our team has access to them.
One reason for this is that when too many people use the same tactics and tools they they stop being effective. Another reason is that this approach allows us to make adjustments immediately as the market is shifting.
No.
Tracking open rates + click rates requires adding tracking pixels to emails, which has a significantly negative effect on deliverability.
Besides that, open rates + click rates are completely meaningless metrics. Spam filters “open” email and “click” links which skews the metrics.
Other providers remove tracking pixels automatically before emails are shown in the inbox.
As a result, these emails are never counted as being opened, no matter what.
We only track truly meaningful metrics: Output (emails sent, leads contacted) and Replies (all replies, positive replies).
We pull from every major lead data platform and then some. The process always starts with finding the right companies (like SaaS, hotels, clinics, whatever makes sense for your target), and then we identify the right people inside those orgs. From there, we use a waterfall method to get contact info: We start with one provider. If we can’t verify it, we move to the next. And we keep going until we’ve got the highest-quality, most complete list possible.
We also do deep industry-specific scraping. For example, Google Maps can be a great starting point if you’re targeting hotels.
One thing that sets us apart is that before we contact anyone, we verify that they still work there, that the company is still active, and that the pitch is relevant. If they’re not a fit, we don’t email them. Simple as that.
We also track everything: what data source a contact came from, how many positive replies it generated, and more. That way, we’re always learning and improving.
We’re data-driven, but also realistic. Our internal benchmark is a 0.5% positive reply rate.
That means if we send 200 emails, we’d expect to see one positive reply. But we know that real life is messy. There’s always natural variance.
So here’s what we do:
We let a campaign run until at least 800 emails have been sent before making any major calls.
But we start tweaking way earlier, especially the copy. Often, just a small adjustment can turn things around.
Roughly: 50% service businesses, 40% SaaS, 10% IT.
The common thread? They all need consistent, qualified leads and don’t want to deal with the black box of most cold email tools or agencies.
